Terms
- Due to certain unavoidable circumstances, the company reserves the right to change / modify / vary and alter the tour itinerary. In such changes, compensations or claim for refund by the passengers will not be entertained by the company for limitation and also for the non- availability of certain services with entry tickets, restaurants, sightseeing even though included in tour itinerary
- The company reserves the right to postpone or cancel any of the tours advertised, without assigning any
reason. In this case, amount paid by the passengers will be refunded in full and no compensation claim
will be entertained.
- Flight Tickets & Penalty: Once an airline ticket is issued, penalty charges will be applicable for date changes or any amendments. Visa fees and flight tickets (onward & return) are non-refundable under any circumstances.
- There are coach restrictions in some cities. In such situations, the tour manager and driver will do their best to drop you as near to the monuments as possible.
- No-Show/Missed Travel: Passengers missing flights will be considered "No Show," and the entire ticket will be non-refundable. New tickets must be purchased by the passenger.
- No refund can be entertained for any expenses incurred by the passengers due to circumstances beyond our control such as flight cancellation, delays, accidents of any nature, bad weather, natural calamities, medical evacuation, supplier policies, visa rejection and visa delay,
- If in case of single lady or single man (single - to be understood as any person who is alone), room sharing may not be possible as per itinerary. In such case, single supplement charges to be paid extra.
- The tariff of the tour quoted is calculated as per the rates prevailing at the time of quoting The Company reserves the right to change the tariff in the event of modification/alteration/change/variation in the said rates before the date of departure.
- Tour cost is based on a minimum of 35-40 passengers traveling together in the If there is a drastic fall in the number, then the offered tour cost, meal plan, vehicle, and other services may change accordingly and the difference amount has to be borne by the passenger.
- Tour tariff is based on departure from Cochin, unless specifically mentioned. Tourists boarding flights at places other than Cochin have to pay the entire airfare difference and bear and pay any other additional expenses including airport transfers ,hotel stay on that account.
- The company takes care to select hotels and book the same on behalf of tourists at convenient locations subjectto availability. In case of non-availability of rooms in the same hotel, the company has the right to split the accommodation in different hotels. Hotel accommodation is generally provided on Twin sharing basis in standard rooms and the third bed is often a roll-away mattress put in a twin-bedded room. Air-conditioning, central heating and other facilities are provided by the hotels depending upon various factor including weather / climatic conditions, local laws etc.
- As a Travel House / Tour Operator, the company does not have any control over Airlines, Coach Companies, Shipping Companies, Hotels, Local Transport or any other facilities provided by the third parties. The company is not responsible for the delays or deficiencies in the services provided by outside agencies. Also please note that the company does not have any control on schedules of opening and closing timings of the tourist attractions.
- In computerized reservation system of Airlines seats once reserved cannot be changed. Tour participants will have to travel by the same seat provided by Airline.
- Any damage caused to the hotel rooms or coach during your stay shall be payable by the passengers. Vivekananda Travels will not be held responsible for the same. There are no refunds for any services, i.e., meals, sightseeing’s, flight delay or cancellation of flight etc. not utilized on the tour.
- The Company shall not accept any liability or responsibility for any damages, loss, injury, accident, death, natural calamity, delay, breakdown or irregularity that may occur in carrying out the tour arrangement. (Management reserves the right to claim any additional expenses due to delay or changes in train, plane, bus, ship or other services, weather conditions, strikes, war, quarantine and any other cause, whatsoever, and all such losses or expenses must be borne by the passengers).
- Airlines are solely responsible for overbooking of seats, failure to provide meal as required by the guest, quality of meal, loss of baggage, Allotment of seats for group booking
- Places of visits, subject to opening for public visit only. If in case any monuments, place of visit is closed for public entry due to any reason, the company is not liable for the same.
- If the customer doesn't agree to pay TCS/GST/Balance payment, it will be treated as a cancellation under the policy of Vivekananda Travels Pvt Ltd and no refund will be given.
- Vivekananda Travels Pvt Ltd reserves the right to terminate the tour of any Guest while on the road if the Guest doesn't follow the group tour decorum or misbehaves with co-passengers/Tour Manager/Coach Captain/Local citizens or creates a nuisance etc.

- Guests traveling abroad shall take care of not losing passport. Loss of passport on tour involves costs and consequences such as filing FIR, visiting Indian Embassy, getting new passport or landing certificate, expenses on the stay, food, transportation etc. all of which have to be borne and paid by the concerned guests only. Getting the landing certificate or the new passport is the sole responsibility of guests. Tour Leader is not responsible or liable or under obligation, for the loss of passport and consequences thereof
- Passengers must ensure they are medically fit to travel. Fortune Tours will not be responsible if a passenger is deemed unfit to travel, resulting in denied boarding by the airline or restrictions by immigration authorities. It is recommended that passengers consult a doctor before traveling, especially if they have pre-existing health conditions
- Any form of aggressive, abusive, or inappropriate behavior towards the tour guide or tour staff will not be tolerated and will be dealt with in accordance with the law of the respective country. The tour guide holds the authority to execute the itinerary as per the scheduled program, and their instructions must be respected at all times

Tax Collected at Source (TCS) for Outbound/International Tour Packages to paid additional over and above the mentioned tour cost. Calculation will be as below:
Tax Collection at Source (TCS) at the rate of 5% up to outbound tour of INR 10 lakh and 20% beyond INR 10 lakhs per individual payer per annum will be levied under section 206C(1G)(b) of the Income Tax Act on outbound tour services. The TCS collected will be reflected in the 26AS of the passenger in whose name receipt is raised (Payer/s for the package) for claiming Income Tax credit. Hence the name of the payer & the associated PAN Number on the receipt should be reconfirmed at the time of making the payment for the holiday package booking.In case of no Income Tax Payable against your PAN, you can claim the refund of the TCS amount at the time of filing your IT return

Booking
- Booking: For confirming the seats,INR 30,000/- per person has to be remitted while booking
- Balance amount has to be settled 30 days before the tour departure.
- Passport Copy Scanned (Front & Address Page) , Adhaar Card copy & Pan Card Copy to be send through WhatsApp, Email or by hand to Office while booking.
- Original Passport with 6 months validity at the time of travel to be with the passenger
Cancellation & Refund
- 50% of advance amount refund will be available for the cancellations before 30 days from the tour starting date and thereafter no refund or no reschedule will be available against cancellations.
- No refund can be entertained for any expenses incurred by the passengers due to circumstances beyond our control such as flight cancellation, airport closure, delays, accident of any nature, bad weather, natural calamities, medical evacuation, supplier policies, visa rejection and visa delay
- Natural Calamities:
If the journey is blocked /diverted/ cancelled For any reasons beyond our control such as Road Bandh, Train Delay Strike, Natural Calamities, (Earth Quake, Flood, Cyclone, Tsunami etc) Company Will not allow any refund.
Children’s policy

Children’s between 5-11 years will get 25% reduction in tour charge (Separate accommodation not available)
Flight/Railway Ticketes
The tourists/pilgrims booking for the package tours should give a copy of air ticket/ train ticket to the head office at Calicut before 15 days of the tour starting date, by email/WhatsApp/post.
Vivekananda Travels is not in any way responsible regarding the confirmation of ticket and cancellation of tickets, both air/ rail confirmation. Changes and cancellation refund policies are as per the air/train authority’s rules and regulations & terms and condition only.
If in case Vivekananda Travels arranges the flight/train tickets, it is hereby conveyed to you that we are just a facilitating mediator for the same and have no say in terms of the status, confirmation, changes, or cancellations.
Payment policy
- Payments to be made on booking only with Vivekananda Travel’s authorized Agency/Branch (List available in website www.vivekanandatravelspltd.com). Or the customer can make the payment by the mode of online bank transfer/UPI to the official bank account of Vivekananda Travels Pvt Ltd, Canara Bank, Mavoor Road branch OR HDFC Bank Kozhikode only. (Account details available with authorized agency/branch offices).
- Upon online bank transfer/payments via UPI would request to intimate the booking office with the payment reference number and transaction details. Else, the booking and the receipt of credit of transaction will not be confirmed and the company will not be responsible for the same.
- Please ensure to collect your receipt copy from the booking offices on successful payment to ensure booking confirmation and request you to verify the details before leaving the counter.
- Cheques not accepted
- Payments using debit cards/credit cards/UPI/Online transfer etc can be made using our official website payment gateway. For initial booking tourist/pilgrim can directly book for package using our website: www.vivekanandatravelspltd.com. For balance remittance, upon due, a payment link will be received thru SMS or you may avail the reference number from booking office and can make online payment using the link: https://www.vivekanandatravelspltd.com/pay-online
- During online transfer using various mode please make sure the recipient name is M/s Vivekananda Travels Private Limited or M/s Vivekananda Holidays Private Limited. Never make payments to any individual accounts/staff bank accounts. Company will not be liable for such payments in any manner.
